Looking for some meeting space?

Community groups are invited to use the Community Room, Oak Room, and Redwood Room at the Saratoga Library! Certain meetings are not open to the public, such as Library and City staff meetings, interviews, training sessions, and the like. All other programs and meetings must be non-commercial, free, and open to the public.

Eligible Organizations (in priority order)

  1. Santa Clara County Library District
  2. Organizations whose programs are co-sponsored by SCCLD (Friends of the Library, The Reading Program, etc.)
  3. SCCLD related groups such as Library Commissions, Friends of the Library or library foundations or endowments
  4. City or Santa Clara County sponsored meetings
  5. Civic, school and nonprofit groups presenting programs of public interest

Making a Reservation

Before making your reservation, you must read and sgree to adhere to the Library's Community Room Policy and Behavior Standards, as well as the room usage requirements for the room you are booking. You must have a valid SCCLD library card to book a room.

If you need to change the time or date of your reservation, please contact the Saratoga Library at (408) 867-6126.

How to Book a Room Online:

  1. Click the “Book This Room” button for the room you wish to book.
  2. Go to the date you wish to reserve the room and select your start time.
  3. When beginning a new booking, the maximum time available from your start time will display. You may shorten your booking time by selecting a new end time from the drop-down menu, as well as adjust your booking start and end times and dates, while creating your booking.
  4. Press the “Submit Times” button.
  5. Read and accept the Terms of Service.
  6. Enter the information required in the online application.
  7. Submit your reservation request.
    1. Once submitted, you will not be able to edit your reservation. Please contact the Saratoga Library staff for a change, or you may cancel and create a new booking.
  8. For Community Room reservations, you will be sent an Awaiting Approval email; Saratoga Library staff must review requests for the Community Room, and will send a follow-up email once your reservation has been approved or denied.

Reserve the Community Room

The Saratoga Library Community Room is available for use by public groups, as the whole room for 10-135 people.
Please review the Saratoga Library Community Room Usage Requirements and the Santa Clara County Library District Community Room Policy before making a reservation.
Book This Room
  • The Community Room may be reserved by groups of 10-135 people.
  • The Community Room may be reserved up to 90 days in advance.
  • A group may book the Community Room no more than once per month.
  • The maximum booking duration on a single day is 8 hours.
  • There is a non-refundable fee per booking for the Community Room.
  • Please check in at the Accounts Desk.

Fees:

  • There is a non-refundable fee per booking for the Community Room: $25 for 4 or fewer hours, or $50 for more than 4 hours.
  • Acceptable forms of payment are: cash and check.
  • Checks should be made payable to the Saratoga Library, or to Santa Clara County Library District.
  • The amount due must be paid within 7 days of receiving approval for your reservation.
  • Payments may be made in-person at the Accounts Desk. Mailing in the amount due is not allowed.

Reserve the Oak Room

Saratoga Library provides one medium-sized meeting room, called the Oak Room, located adjacent to the Learning Lab. It may be used by groups of 4 to 12 people for group study, discussions, or projects. The Oak Room has chairs and tables to accomodate up to 12 people, and a large screen to which people may connect devices for projection and collaboration purposes. Please review the Oak Room's Usage Requirements before making a reservation.

  • The Oak Room may be reserved by 4 to 12 people.
  • The Oak Room may be reserved up to 30 days in advance.
  • A group may book the Oak Room once per day.
  • The maximum booking duration on a single day is 2 hours.
  • There is no fee to book the Oak Room.
  • Please check in at the Reference Desk for Adults and Teens.

Reserve the Redwood Room

Saratoga Library provides one small-sized meeting room, called the Redwood Room. It may be used by small groups of up to 6 people for group study, discussions, or projects. The Redwood Room has chairs for up to 6 people, a table, and a collaboration station for broadcasting onto a television. Please review the Redwood Room’s Usage Requirements before making a reservation.

  • The Redwood Room may be reserved by 1 to 6 people.
  • The Redwood Room may be reserved up to 7 days in advance.
  • A group may book the Redwood Room once per day.
  • The maximum booking duration on a single day is 2 hours.
  • There is no fee to book the Redwood Room.
  • Please check in at the Reference Desk for Adults and Teens.

Cancellation

Please use the cancellation link provided in your room booking confirmation email, or contact the Saratoga Library Adult reference desk in-person or at (408) 867-6126, to cancel a booking.
