Gilroy Library Meeting and Community Room Usage

A bit more information about Gilroy Library's Meeting and Community Room.

Facilities:

There are 3 rooms that can be booked by the public:

  • The downstairs Meeting Room (6-30 people)
  • The upstairs Community Room (30-100 people)
  • The upstairs Computer Training Lab (18 computers / needs approval by the Community Librarian)

Facilities:

  • A group may book a room only once per month. Reservations may be made up to 3 months in advance on a first come, first served basis.
  • A representative of the group must read the Meeting Room Policies, complete the application and pay the fee in advance of the meeting and they assume responsibility for any damages.
  • The name and phone number of the group and representative may be given to anyone inquiring about the meeting.
  • A group must give the library at least 2 days cancellation notice or future use may be prohibited.
  • The library reserves the right to cancel a reservation with reasonable notice to a group.
  • To propose a library-sponsored event, please return a completed application.

Publicity:

  • All publicity for programs must include a contact phone number other than that of the library and must not imply that the library is sponsoring the program.
  • Telephone calls and messages cannot be relayed at any time.

Check-in and Room Set Up:

  • The organization must notify staff at the Accounts Desk for the Meeting Room or the upstairs Information Desk for the Community Room when they arrive and when they leave so that the doors can be unlocked and locked.
  • The following items are available for use in the Meeting Room: 30 chairs, 8 folding tables, dry erase board, and wireless internet access.
  • The following items are available for use in the Community Room: 100 stacking chairs, 10 folding tables, dry erase board, sink, podium, projection screen, and wireless internet access.
  • The group is responsible for arranging the chairs and tables before the meeting.
  • No placing nails, screws, thumbtacks, staples, tape, adhesives, or signs on the walls or doors unless advance approval is given by the Community Librarian.
  • Groups shall provide any equipment needed including television, DVD player, laptop, projector, dry erase markers, etc. Staff assistance is not available for room or equipment set-up.

During the Program:

  • Noise level should be appropriate for a library and no high voltage equipment is allowed.
  • Only light refreshments, such as punch and cookies, may be served.
  • Solicitation, sales, fees, or requested donations is not permitted except a nominal amount to cover refreshments and organizational dues.
  • No smoking or alcoholic beverages allowed.
  • Burning anything, including candles, sealing wax, papers, or other objects for any reason is not allowed.

Clean-up and Exiting:

  • The room must be left clean and in the same or better condition than how it was found.
  • The group is responsible for cleaning the dry erase board and for restacking the chairs and tables after the meeting.
  • Please turn out the lights, close doors, and notify staff when you leave.
  • Groups must exit the rooms 30 minutes before closing. Groups must vacate rooms by 8:30pm on Mondays, Tuesdays, Wednesdays, and by 5:30pm on Thursdays, Fridays, and Saturdays.
